As a line manager with a staff member moving out of my department or school to another area, what do I need to do?
You should notify the IT Service as soon as you are aware they will be moving roles.
If already issued IT equipment in the role they are leaving then they should take the laptop, power supply, headset and bag with them to their new role.
Their other peripherals such as a docking station , monitors, keyboard and mice should remain at the desk for their replacement to use (if recruited โ otherwise you must contact the IT Service for their collection if not replacing the role). All IT equipment is allocated to an individual staff member and IT Services will reallocate existing equipment to the replacement staff member when they arrive.
You should follow data security best practice and arrange for any access the moving staff member has to department/school specific systems or file storage to be removed for their account, unless you are aware that they need to retain this access in their new role. Examples include O: drive folders, shared mailboxes, shared calendars, SharePoint sites etc.
Some of this can be done without contacting the IT Service, e.g. SharePoint site owners can remove access to SharePoint/Teams sites.
As a line manager with an existing staff member moving into my team from a different department or school what do I need to?
You may need to order additional IT peripherals from us via the IT Service Desk Self Service Portal here if not already available.
This can include monitors, laptop dock, external keyboard or mouse that may have stayed behind the role the staff member has moved from.
In most circumstances, if the mover was already assigned IT equipment in the role they have vacated, then they will bring their laptop, power supply, laptop bag and headset with them.
Arrange for access to IT systems and services required for the role as you would for any new starter as per the guidance on this page.
