As a Line Manager with a staff member leaving the University, what do I need to do and be aware of?
Following the guidance here will depend on the nature of the staff members departure from the University. If this was unplanned/unexpected, perhaps linked to sickness injury or death, the guidance will be need to taken in that context, with further responsibility expected from line manager fulfil.
The line manager should collect all IT Equipment issued to the staff member leaving the University before they leave. As line manager you should then request collection of this from the IT Service.
IT Peripherals such as laptop dock, monitors, keyboard and mice can remain in place if the re-recruitment for the role is anticipated. If this is not expected to be the case, the request should be made for the collection of everything.
In all cases the laptop, power supply, headset and bag must be returned even if there is expectation to recruit. This is because the laptop will be wiped and made ready for reissue.
If a desktop PC has been issued instead of a laptop, please contact us and we will arrange for this to be reimaged in-situ.
Devices not returned will be remotely disabled and full costs for a replacement will be sought by the University.
Where possible once a leave date is known, the line manager should ensure the staff member reads and follows all guidance on this page before they leave, such as setting an out of office message, and transferring any business critical files, processes and access rights to another staff member (as appropriate).
The departing staff members University IT account will be decommissioned 90 days after they leave the University. From this point all files stored in resources connected to this account will be permanently deleted. This includes content held in cloud services and mailboxes.
