University staff may be aware that you can add data sensitivity labels to your emails and documents within our Microsoft platform. These labels are a useful feature that help both individuals and the University identify and manage the personal, confidential and sensitive data that they hold. Some of the potential future applications of having well labelled documents include restricting sensitive information from being sent externally or enabling the automatic deletion of specific information after a set time.
To support staff labelling their documents and emails, the University is introducing automatic policies which will label all documents that contain specific data. The first of these policies will identify financial data (specifically credit card numbers, EU debit card numbers and multiple instances of SWIFT codes) and will apply to content held within staff SharePoint & OneDrive repositories as well as staff mailboxes.
The content will be labelled in line with the document management policy as ‘Highly Sensitive/Mark as Highly Sensitive (not protected)’. The process will not overwrite existing manual labels that may have already been applied by staff and can be overridden by the end user choosing an appropriate alternate label.This policy will have no other effects other than warning of the file’s contents allowing the user to consider caution before sharing or emailing sensitive financial content.
