Outlook is an email and personal information management software that helps you communicate efficiently and manage your tasks effectively.

As a staff member at the University of Worcester, you can access your staff mailbox through the Outlook app on your University-owned device or through Webmail on any device. In addition to sending and receiving emails, you can manage your calendar, schedule meetings, create tasks and to-do lists, and more using the various features offered by Outlook.


What is Microsoft Outlook?

Microsoft Outlook is Microsoft’s desktop email client.

Though primarily an email client, Outlook also includes such functions as calendaring, task managing, contact managing, note-taking, journal logging, and more.

What is Webmail? (Outlook on the web)

Webmail (Outlook on the web) is Microsoft’s web-based email client.

For quick access to your email, calendar, and contacts on any computer with an Internet connection, sign in with your University of Worcester credentials.

Accessing Outlook on University devices

Microsoft Outlook is pre-installed on University of Worcester devices as part of the Office 365 suite, all you need to do is sign in.

  1. Click on the Windows logo in the bottom left corner to open the Start Menu.
  2. Type Outlook to search for the app.
  3. Select Outlook from the search results.
  4. When it loads, you’ll be prompted to sign in with your University of Worcester staff email address.
    Please note: The mailbox setup may take several minutes to complete.

How do I set up Outlook on my University device?

Accessing Outlook on a mobile device

Microsoft Outlook can be installed onto a personal device as part of the Office 365 suite or onto a personal mobile device via your phones app store.

  1. Open the Google Play Store/App store on your mobile device
  2. Search for Microsoft Outlook
  3. Select it from the results then choose Install. After some time the install will complete and the app will be available to launch.
  4. Open the Outlook app on your mobile device.
  5. Choose Add account
  6. Enter your University of Worcester email address or select it from the list of discovered accounts.
  7. Press Continue.
  8. You may be prompted for your password or to verify using Multi-Factor Authentication.
  9. You will be asked if you want to add another account, select Maybe later to skip this

It will take several minutes to synchronise your mailbox.

How do I set up Outlook on my mobile device?

Accessing Webmail (Outlook on the web)

  1. Log into the staff portal then sign in with your University of Worcester credentials.
  2. You’ll find Webmail in the top-left corner and under the Applications section.

Please note: Access to webmail is disabled by default for security reasons. To request access to Webmail, please contact us via the IT Service Desk on 01905 85 7500, live chat or by logging a ticket on the self-service portal.


FindTime

FindTime is an Outlook add-in for scheduling meetings. The organiser can send multiple time options through FindTime and minimize the back-and-forth emails in scheduling.

Find the best times

FindTime shows what days and times work the best for you and the attendees when available using free/busy data

All attendees vote

Propose your selected times to all attendees and allow everyone to vote and quickly come to a consensus

…and you’re done!

FindTime sends out the meeting invite on your behalf

Recipients of a FindTime meeting are not required to have the add-in installed to vote on meeting times. Invitations can be sent to any email address including Gmail, Yahoo!, and similar providers.
